Privacy Notice

This notice explains what information Here 2 Help LLC ("Here 2 Help," "we," "us") collects from you, why we collect it, who processes it on our behalf, and the choices you have. It applies to our website (here2helpva.com), our intake form, and the household services we provide in the Richmond, Virginia area.

Who we are

Here 2 Help LLC is a home-services business based in Richmond, Virginia. You can reach us at hello@here2helpva.com or (804) 653-0109 with any question about this notice or your information.

Information we collect

When you fill out our intake form or communicate with us, we collect:

• Contact details — your first and last name, email address, and phone number.
• Home information — your street address, home size, and preferred schedule, so we can scope and assign your visits.
• Household details — information you choose to share to help us serve you, such as whether there is a newborn or twins, a senior in the household, or pets.
• Your priorities and preferences — the tasks you most want help with, and any request for a specific Helper.
• Service information — the package you select and, once you are a customer, records of your scheduled visits.

We do not collect payment card details through the intake form. Billing is handled separately through our payment processor (Stripe), which collects and secures payment information under its own terms.

To deliver recurring service, we may also hold operational details you give us directly, such as home-access instructions or entry codes and your visit schedule. We treat this information as sensitive, share it only with the assigned Helper and staff who need it to perform the service, and remove or update it at your request.

How we use your information

• To respond to your inquiry and scope the right package for your home.
• To schedule, assign, and carry out your household visits.
• To bill you for service and keep basic business records.
• To contact you about your service, and — only if you have agreed — about offers or updates.

We do not sell your personal information, and we do not use it for targeted advertising.

Who processes your information (service providers)

We use a small number of trusted third-party providers to run the business. They process your information only to provide their service to us, under their own privacy and security terms:

• Netlify — hosts our website and processes intake-form submissions through Netlify Forms. When you submit the intake form, the information you enter is transmitted to and stored by Netlify on our behalf.
• Resend — sends the confirmation email you receive after submitting the intake form. To do this, the name, email address, and details you entered are transmitted to Resend, which delivers the email on our behalf.
• Stripe — processes payments and stores payment-card information for customers who set up billing.
• Google — we use Google Calendar to schedule visits and Google Workspace for our business email.
• GoodHire — runs background checks on Helper applicants. GoodHire collects the applicant's authorization and personal identifiers directly from the applicant and provides the resulting report to us. This applies only to people applying to be a Helper, never to customers.

We share your information with the independent-contractor Helper assigned to your home only to the extent needed to perform your service (for example, your address, schedule, and task priorities).

If you apply to be a Helper

This section applies to people applying to work with us as an independent-contractor Helper, not to customers.

When you apply, we collect what you provide on the application form and in interviews — your name, contact details, work history and references, availability, and transportation. If your application progresses, we ask you to authorize a background check, which is run by GoodHire. You give that authorization to GoodHire directly and separately, and GoodHire collects the identifiers it needs (such as date of birth and Social Security number) from you rather than from us. We receive the resulting report and use it only to decide whether to engage you.

We do not sell applicant information or use it for advertising. We share it only with GoodHire for screening, and with our own professional advisors where necessary. We keep applications and reference notes for a reasonable period whether or not you are engaged, and background check results only as long as needed for our records; you may ask us to delete your application at any time by emailing join@here2helpva.com.

If a background check result may lead us not to engage you, you will receive the notices the federal Fair Credit Reporting Act requires, including a copy of the report and a summary of your rights, and an opportunity to respond before a final decision.

How long we keep it

We keep your information for as long as you are a customer and for a reasonable period afterward to meet business, tax, and legal needs. Intake submissions from inquiries that do not become service are retained only as long as needed to follow up, then deleted. You can ask us to delete your information sooner (see "Your choices" below).

How we protect it

We limit access to your information to the people and providers who need it, rely on the security measures of our providers (Netlify, Resend, Stripe, Google, GoodHire), and handle home-access details on a need-to-know basis. No system is perfectly secure, but we take reasonable steps to protect what you share with us.

Your choices and rights

You may ask us to access, correct, or delete the personal information we hold about you, and you may opt out of non-essential messages at any time. To make a request, email hello@here2helpva.com. We will respond within a reasonable time.

Depending on the volume of personal data we handle, Virginia's Consumer Data Protection Act (VCDPA) may not currently apply to a business of our size; regardless, we honor access, correction, and deletion requests as described above.

Children

Our services and website are directed to adults arranging household help. We do not knowingly collect personal information from children. Household details such as "newborn/twins" describe the home we serve; they are provided by the adult customer.

Changes to this notice

If we change this notice, we will update the date above and post the current version here.
